Welcome to Clarence Hotel Tenby!

1. Introduction

1.1 These Terms & Conditions (“Terms”) govern the use of the services, facilities, and website of Clarence House Hotel (“the Hotel”, “we”, “our”, “us”).
1.2 By making a booking, staying at the Hotel, attending any event, or using our website www.clarencehoteltenby.co.uk, you agree to these Terms in full.
1.3 If you do not agree to these Terms, you must not proceed with a booking or use our website.

 

2. Definitions

For the purposes of these Terms:

  • “Guest” / “You” / “Your” means the person making the booking, all persons named on the booking, and any visitors to the Hotel during the stay.

  • “Booking” means a confirmed reservation for accommodation or other services at the Hotel.

  • “Website” means www.clarencehoteltenby.co.uk and any associated online booking platform we operate.

  • “Third-Party Supplier” means any company or individual providing goods or services not operated by the Hotel.

  • “Force Majeure Event” means events or circumstances beyond our reasonable control, including but not limited to natural disasters, extreme weather, epidemics, pandemics, fire, flood, war, terrorism, government action, labour disputes, failure of utilities, and internet outages.

 

3. Booking Process

3.1 Eligibility — You must be at least 18 years of age to make a booking.
3.2 Accuracy of Information — You confirm that all information you provide is true, complete, and accurate.
3.3 Authority to Act — If booking on behalf of others, you confirm you have their consent to provide personal data and agree to these Terms on their behalf.
3.4 Booking Confirmation — A booking is not valid until confirmed in writing by us via email or letter. Please check all details carefully and notify us immediately of any errors.

 

4. Payment Terms

4.1 Deposits — A deposit may be required to secure your booking. The deposit amount will be specified at the time of booking and is non-refundable unless otherwise stated.
4.2 Final Payment — Unless otherwise agreed in writing, full payment must be made on or before arrival.
4.3 Accepted Payment Methods — We accept major debit/credit cards, bank transfers by prior arrangement, and cash in GBP.
4.4 Pre-authorisation — We may pre-authorise your card to cover the cost of your stay and potential incidentals. Any unused balance will be released within 5–10 working days, depending on your bank.

 

5. Pricing & Availability

5.1 Rates — Prices are quoted per room per night unless otherwise stated and include VAT at the prevailing rate.
5.2 Dynamic Pricing — Prices may vary according to availability, season, and special events.
5.3 Errors — We reserve the right to correct pricing errors. If you do not accept the revised price, you may cancel without penalty.

 

6. Cancellations, Amendments & No-Shows

6.1 Flexible Rate Bookings — Cancellations made at least 48 hours before the scheduled check-in time will not incur a charge. Cancellations made later will incur the cost of the first night’s stay.
6.2 Non-Refundable Bookings — Full prepayment is required at the time of booking and is non-refundable in all circumstances.
6.3 Group Bookings — Bookings of 5 rooms or more are subject to bespoke terms, including longer cancellation deadlines and larger deposits.
6.4 No-Shows — Failure to arrive without notice will result in a charge equal to the first night’s stay.

 

7. Hotel’s Right to Cancel

We may cancel your booking if:

  • The room or hotel is unavailable due to a Force Majeure Event.

  • Payment is declined.

  • You breach these Terms or engage in unacceptable behaviour.

 

8. Check-in & Check-out

8.1 Check-in is from 3:00pm unless otherwise agreed.
8.2 Check-out is by 11:00am.
8.3 A valid photographic ID may be required on check-in.

 

9. Guest Conduct

9.1 Guests must behave in a respectful and lawful manner, ensuring the comfort, safety, and enjoyment of others.
9.2 Smoking is prohibited inside the Hotel except in designated areas. A fee of £250 will apply for breaches.
9.3 We reserve the right to evict without refund if behaviour is disruptive, illegal, or dangerous.

 

10. Damage & Liability

10.1 You are liable for any damage or loss caused to the Hotel by you or your guests.
10.2 We are not liable for loss or damage to personal property unless caused by our negligence.
10.3 Safety deposit boxes are available for securing valuables.

 

11. Facilities & Services

11.1 We make every effort to ensure advertised facilities are available, but we do not guarantee uninterrupted availability.
11.2 Temporary closures for maintenance or unforeseen issues may occur.

 

12. Accessibility

We offer certain rooms with accessibility features. Please contact us before booking to discuss specific requirements. While we make every effort to meet needs, some facilities may have limitations due to the building’s structure.

 

13. Children & Minors

13.1 Children under 18 must be accompanied by a responsible adult.
13.2 Special rates and restrictions may apply for children’s stays and meals.

 

14. Pets

Pets are only permitted in designated rooms and must be pre-approved. Charges may apply.

 

15. Third-Party Services

We are not responsible for the acts or omissions of third-party suppliers whose services are arranged via the Hotel.

 

16. Force Majeure

We shall not be liable for any failure or delay in providing services due to Force Majeure Events.

 

17. Website Terms of Use

17.1 All content, including text, images, and logos, is owned by or licensed to the Hotel. You may not copy, distribute, or use without prior written consent.
17.2 You must not misuse the website, attempt unauthorised access, or introduce malicious code.

 

18. Privacy & Data Protection

18.1 We process personal data in accordance with our Privacy Policy and Cookie Policy, which comply with UK GDPR and the Data Protection Act 2018.
18.2 By using our services, you consent to such processing and warrant that all data provided is accurate.

 

19. Cookies

We use cookies to improve website performance, personalise content, and analyse usage. By using our site, you consent to our use of cookies as outlined in our Cookie Policy.

 

20. Limitation of Liability

20.1 Nothing in these Terms limits our liability for death or personal injury caused by negligence.
20.2 Subject to 20.1, our total liability for any claim shall not exceed the total amount paid by you for your booking.

 

21. Governing Law & Jurisdiction

These Terms are governed by the laws of England and Wales. Disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
